Terms & Conditions for Wedding Contract
Reserving Your Date
A 25% non-refundable booking fee is required to secure your event date. This fee covers planning, design, research, and contacting suppliers but is not applied toward the cost of flowers or materials. By paying the booking fee, you agree to the terms in this contract. Please carefully review your event details, such as the date, venue, and quantities. Changes may incur additional fees.
Order Changes
Changes to your order may be made up to 30 days before the event. After this, any adjustments may incur additional fees. If you’d like to remove items from the invoice, the budget can be reallocated, but the total cost cannot be reduced by more than 10% of the original estimate.
Price Adjustments
Due to changes in market conditions (e.g., taxes, transportation, fuel, or floral prices), the total cost may vary. We reserve the right to adjust the invoice, with the client’s understanding and agreement.
Rescheduling & Cancellations
If you need to change the event date or venue, please notify us in writing. We will do our best to accommodate the changes, but if we are unavailable, the 25% booking fee is non-refundable.
For cancellations made more than 30 days before the event, all payments (except the booking fee) will be refunded. Cancellations made within 30 days of the event are non-refundable.
Client Responsibilities
Clear Communication: The client is responsible for promptly communicating any updates or changes to the event details, including venue access, timing, and special requests.
Venue Permissions: If special floral installations are required, such as hanging arrangements, it is the client’s responsibility to ensure venue permissions are obtained.
Care of Arrangements: After delivery, the client is responsible for the care and placement of the flowers to ensure they remain in the best condition.
Timely Payment: The client must ensure all payments are made on time as per the agreed schedule to avoid service delays.
Exclusive Floral Provider
Throughout the entire day of the event, no other floral arrangements are allowed, and all flowers displayed must exclusively come from Moss & Clay to ensure consistency and uphold the aesthetic vision we've designed.
Photography
We may take photos of our floral designs for promotional purposes. Any professional photos from your event will be credited to your photographer.
Payment Schedule
A 25% deposit is due upon signing this contract.
The remaining balance must be paid 21 days before the event date.
Any changes to services after the final agreement may result in additional charges.
Price Adjustments

Substitutions
We may need to substitute flowers, colours, or vessels due to seasonal or market availability. We will do our best to maintain the agreed-upon style.
Rental + Hire Items
Items such as vases and candle holders are rentals and must be returned within 48 hours after the event. The client is responsible for any damage, loss, or delays in return. Late returns may result in additional charges. Unless agreed otherwise via email.
Delivery & Set-Up
Responsibility for flowers and designs transfers to you upon delivery. Additional fees may apply for changes in venue location or last-minute delays. Please ensure all venue policies are communicated in advance.
Weather Conditions
We cannot be held liable for delays or damages caused by extreme weather. We prioritise safety and follow local advice during such conditions.
Installations
For hanging or large-scale installations, it is the client’s responsibility to ensure that the venue has granted all necessary permissions. We are not responsible for incomplete work due to venue restrictions.
Force Majeure
In the event of circumstances beyond our control (e.g., natural disasters, war, strikes, acts of God), we cannot be held responsible for failure to perform. If a new event date cannot be accommodated, the 25% non-refundable booking fee and any flower/material costs will be retained.
Complaints
If you are dissatisfied with our services, please provide written notice within 14 days after the event, and we will address the matter as best we can.
